1.       Summary and Background

Swirnow Building Systems® has been providing innovative Structural and Architectural building solutions for over 45 years through independent affiliates Swirnow Structures?, Avenere Cladding? and Primary Acoustics?.


[Currently, our system runs on a deprecated version of .NET, on a SQL Server. We would like to maintain the framework and system architecture with MS if at all possible, but are open to entertaining additional opportunities]


2.       Proposal Guidelines:


Proposals must be submitted in a digital format.  All budget pricing must be itemized with all items detailed.  This includes a complete list of any intended subcontractors or designated vendors. A successful bid will include all expenses related to licenses.  Contract terms and conditions will be negotiated upon selection of the winning bid.


3.       Project Purpose and Description: Database Construction (Part One) and Customized Reporting Design and Construction (Part Two)

We are seeking to contract a provider who can build a secure database with an easy user interface to ensure all data is secure, mapped correctly and accessible for easy data input, reporting and queries.

                                 i.            Our database tracks and provides the following records, in short:

a.       Company and Contact Info

b.       Prospects, Leads, Projects and Jobs

1)Contacts & Companies linked to each




c.       Marketing Events, Campaigns, Activities & Lists

d.       Accounting

1)Time Sheets


e.       Letters, Transmittals, Proposal Templates, etc. (approximately 65 templates)

f.        Alerts & Notifications to team members

g.       Reports



                               ii.            Our current database is a comprehensive tool that allows our employees to enter and review all info pertinent to our Clients, Customers, Estimates, Proposals, Trade Shows & Marketing events, etc. we will need migration of the old data into the new database to maintain the integrity of our digital records and fully avoid errors in future reporting and audits.

The selected developer will perform alpha and beta testing, meet or exceed all applicable industry standards, provide protocols for security, intrusion protection, user access, administration and supervisor/master control.


Developer will train staff on the use and operation of the system.  Developer will perform regular tech support as needed for up to 1 year following launch.  Ongoing maintenance of the database will be transferred to in-house staff 1 year following install and launch. Developer will continue to provide assistance, including, but not limited to bug fixes, and updates as needed during the warranty period (with option to extend warranty period at an additional, negotiated cost).


4.       Additional Information

As proximity to our office is a bona fide occupational qualification for successfully executing this project and providing ongoing technical support, Developers located in Maryland, Pennsylvania, Delaware, Virginia, and Washington DC will be assigned additional priority in the selection process.
